The Role

Our client is a leading distributor of building supplies, committed to delivering quality products and exceptional service to our customers. As part of our dedication to excellence, we are seeking a highly organized and detail-oriented individual to join our team as a Payroll, HR, and Safety Administrator. This role is pivotal in ensuring the efficient operation of payroll, human resources, and safety functions within our organization. The Payroll, HR, and Safety Administrator will be responsible for overseeing payroll processing, administration of human resources functions and safety compliance within our building supply company. This role requires a proactive and knowledgeable professional who can ensure accuracy, compliance, and efficiency across multiple areas of responsibility.

Responsibilities

Payroll Administration:

  • Collect, process, and manage bi-weekly payroll for approximately 200 employees accurately and timely including government remittances. This includes salary employees monthly expense reimbursements as well as year-end T4 preparation, other year-end summaries and slips.
  • Maintain accurate payroll records, including employee deductions, bonuses, and commissions.
  • Ensure compliance with federal, provincial, and local payroll regulations and tax requirements.
  • Address payroll-related inquiries from employees and resolve any discrepancies promptly.
  • Collaborate with accounting department to reconcile payroll and benefit accounts to ensure accuracy.

Human Resources Management:

  • Manage the recruitment and onboarding process for new hires, including posting job openings, conducting interviews, and facilitating orientation sessions as well as any exit interviews.
  • Administer employee benefits programs, including health insurance, retirement plans, and other perks.
  • Submit and monitor employee WCB claims, short term disability, etc. for timely and accurate claims.
  • Maintain employee records and ensure compliance with employment laws and regulations.
  • Monitor and record employee relations matters, including conflict resolution, disciplinary actions, and performance management.
  • Coordinate training and development initiatives to enhance employee skills and productivity.

Safety Compliance:

  • Coordinate and schedule safety training sessions for employees ensuring that all relevant staff members are enrolled in the mandatory safety training programs.
  • Maintain a comprehensive safety training matrix to reflect employee training progress and completion.
  • Manage and update safety tickets for employees participating in training programs. Track and verify completion of required safety courses.
  • Collaborate with relevant departments to update and review Safe Work Practices and Safe Job
  • Procedures to ensure that all documented procedures align with current safety standards.
  • Prepare for and assist in conducting COR (Certificate of Recognition) safety audits working closely with internal teams to address any identified areas of improvement.
  • Collect and analyze safety data to identify trends and areas for improvement. Generate monthly safety reports and communicate findings to relevant stakeholders.
  • Chair our BC Joint Health and Safety Committee.

Requirements

Qualifications

  • Previous experience in payroll administration, human resources management, and safety compliance.
  • Bachelor’s degree in finance, accounting, business, or a related field is preferred.
  • Strong understanding of payroll processing, tax regulations, and HR best practices.
  • Excellent attention to detail and ability to maintain confidentiality.
  • Strong communication, organizational and interpersonal skills.
  • Proficiency in ADP payroll systems, and Microsoft Office Suite (outlook, excel, word).
  • Certification in payroll administration or human resources (e.g., CPP, PHR, SHRM-CP) is a plus.
  • Knowledge of safety regulations, standards, and best practices would be an asset.
